Cancellation & Refund Policy

At The Pink Circle Foundation, we value the trust our donors and supporters place in us. As a non-profit organization, donations are critical for funding our social welfare initiatives. This policy outlines the circumstances under which cancellations or refunds may be considered.

1. Donations Are Generally Non-Refundable


All donations made to The Pink Circle Foundation are final and non-refundable, except in situations listed under Section 2.

Donations are used immediately for project implementation, beneficiary support, and administrative needs; hence, refunds cannot typically be accommodated.
 

2. Situations Where Refunds May Be Considered


A refund may be processed only in exceptional cases, such as:
 

a) Duplicate Payment


If a donor accidentally pays twice for the same contribution. This will be taken up on a case-by-case basis.
 

b) Technical or Payment Gateway Errors


If a transaction is completed due to:
 

  • Payment gateway malfunction

  • Bank/server error

  • Interrupted or failed transaction that still gets debited
     

c) Unauthorized or Fraudulent Transaction


If a donor’s credit/debit card or bank account was used without permission.

In all such cases, donors must notify us within 7 days of the transaction.
 

3. Refund Request Process


To request a refund, email us at:

Include:

  • Full name

  • Transaction ID

  • Date of donation

  • Amount donated

  • Reason for refund request

  • Proof of error (if available)
     

Refund decisions are at the sole discretion of the Foundation after internal verification.
 

4. Refund Timeline


Once approved, refunds will be processed within 7–14 working days, depending on:
 

  • Payment gateway timelines

  • Bank processing times
     

Refunds will be made to the original payment method only.
 

5. Cancellation of Monthly/Recurring Donations


If you have set up a recurring donation (e.g., via the payment gateway subscription), you may cancel it anytime by:
 

  • Sending us a request at thepinkcirclefoundation@gmail.com, or

  • Cancelling directly via your the payment gateway confirmation email/subscription panel (if available)
     

Cancellations will only apply to future charges, not past transactions.
 

6. No Refund for Utilized Funds


Refunds cannot be issued for donations that have already been:
 

  • Allocated to project activities

  • Used for beneficiary support

  • Recorded in statutory returns or reports
     

This ensures compliance with NGO accounting and tax regulations.
 

7. Legal Compliance


This policy is aligned with:

  • Telangana Societies Registration Act, 2001

  • Income Tax Act, 1961 (80G/12A requirements)

  • Payment gateway guidelines
